Sapphire Escape Villa: Policies and Guidelines

Welcome to Sapphire Escape! We are thrilled to host you and want to ensure you have a relaxing and perfect stay. These guidelines are designed to help us all maintain the villa’s beauty and comfort for you and future guests.

By making a booking, guests agree to the terms and conditions outlined below.

  1. Check-In and Check-Out

  • The villa is rented on a per-night, Entire-villa basis.
  • Check-in time: 2:00 PM | Check-out time: 11:00 AM.
  • Early check-in and late check-out may be arranged upon request, subject to availability and an additional fee.
  • Key Return: Please ensure all keys are left in the designated location upon departure
  1. General Property Rules

  • All rates are quoted in Sri Lankan Rupees and include applicable taxes.
  • Sapphire Escape Villa reserves the right to adjust rates during peak seasons or promotional periods.
  • Occupancy: The maximum number of guests allowed is 8 persons unless otherwise approved in writing. Only registered guests are permitted to stay overnight. Please inform us immediately if your group size changes.
  • Noise: We ask that you be mindful of noise, especially between 11:00 PM and 7:00 AM. This ensures a peaceful environment for the villa and our neighbors.
  • Smoking: Smoking is strictly prohibited inside the villa. Please only smoke in designated outdoor areas, and dispose of butts safely and responsibly in provided containers.
  1. Kitchen Usage, Chef Service & Appliances

  • Optional Chef Service: A private chef can be provided upon request for a fee of $13 per meal per group (Breakfast, Lunch, Dinner or BBQ) (labor only, food costs are separate). Please request this service at least 24 hours in advance.
  • Self-Catering Fee: If you choose to use the kitchen for self-catering without hiring our provided chef, a daily fee of $6 per day will be applied to cover the costs of gas and kitchen amenities.
  • Cleanliness: Guests are welcome to use all kitchen appliances and cookware. We kindly request that you wash all dishes, clean the stove/oven of any spills, and put items away before check-out.
  • Food Storage: Please ensure all food items are sealed and stored properly. Do not leave perishable food items or uncovered waste on countertops.
  • Barbecue/Grill: If a grill is provided, please clean the grates after each use to ensure it is ready for the next guest.
  1. Pool & Outdoor Area Policies

  • Safety First: The pool is used at your own risk. There is no lifeguard on duty. Children must be supervised by an adult at all times.
  • Hours: Pool hours are 9:00 AM to 9:00 PM to respect neighborhood quiet hours and ensure safety in the dark.
  • Glassware: Absolutely no glass containers, bottles, or dinnerware are allowed in or around the pool area. Please use the provided plastic or melamine ware to prevent serious injury from broken glass.
  • Towels: Please use the designated pool towels (usually colored or striped) for the pool keep the white indoor bath towels inside the villa.
  • Chemicals: Do not add anything (soaps, oils, bubble bath, etc.) to the pool water.
  1. Air Conditioning, WiFi, and Utilities

  • Air Conditioning & Electricity Conservation (Critical): To conserve energy and prevent unit damage:
  • Always turn off the air conditioning units when leaving the villa.
  • ○ Do not run the AC with doors or windows open.
  • ○ If you notice any significant, excessive energy usage (leaving AC running all day, every day), a surcharge may be applied upon review of utility bills.
  • WiFi Network:
  • Network Name: will be provided at Check-In
  • Password: Will be provided at Check-In
  • ○ Please note that network speed is 50~100 Mbps and may fluctuate based on local service provider conditions. We cannot guarantee speeds but will ensure the equipment is fully functional.
  • Plumbing: Please do not flush anything other than toilet paper down the toilets (including sanitary items, wet wipes, paper towels, etc.) to avoid costly plumbing blockages.
  1. Damages and Security

  • Security: Please ensure all windows and doors are locked when you leave the villa or retire for the night. We are not responsible for the loss of personal belongings.
  • Damages: Accidents happen! If something is broken or damaged during your stay, please notify us immediately so we can arrange for repair or replacement. You may be responsible for the cost of replacement for excessive damage.
  • Maintenance: Should any urgent maintenance issues arise (e.g., burst pipe, AC failure), please contact us immediately at [+94 76 458 8035]. We will address the issue as quickly as possible.
  1. Guest Responsibilities

  • Guests must treat the property and its contents with care and respect.
  • Any damage, breakage, or loss must be reported immediately. Replacement or repair costs may apply.
  • Smoking is allowed only in designated outdoor areas.
  • Pets are not permitted unless specifically agreed upon in advance.
  • Loud music, parties, or events are allowed only with prior approval from management.
  • Illegal activities or behavior that disturbs the neighborhood will result in immediate termination of the stay without refund.
  1. Use of Facilities

  • Guests enjoy full access to all villa facilities, including the swimming pool, jacuzzi, rooftop terrace, and kitchen.
  • Please use these facilities responsibly. Children must be supervised by adults at all times, especially near the pool and rooftop areas.
  • Management will not be responsible for accidents or injuries resulting from improper use of the facilities.
  1. Safety and Security

  • The villa is equipped with 24-hour CCTV and private parking for your safety.
  • Guests are advised to use the provided safety locker for valuables.
  • Management will not be liable for loss or theft of personal belongings not stored securely.
  1. Cancellation Policy

We understand that travel plans may change. The following policy applies to all confirmed reservations at Sapphire Escape Villa:

  • Free cancellation up to 14 days before arrival.
  • 50% cancellation charge if cancelled 7 to 13 days before arrival.
  • No refund for cancellations made within 6 days of arrival or in the case of a no-show.
  • Date changes may be accommodated subject to availability and approval by management.
  • All refunds, if applicable, will be processed in Sri Lankan Rupees within 10 business days.

For flexible travelers, we recommend confirming your dates carefully before final payment.
